Do Freelancers Need to Charge Tax on Invoices?
This is one of the most common invoicing questions — and one of the few where the honest answer is "it depends entirely on where you and your client are." Here's the general shape of it, and why you shouldn't rely on a blog post alone to decide.
It depends on your location, not your profession
Whether you charge tax on an invoice is determined by local tax law — your country, state/province, and sometimes your client's location too — not by the fact that you're a freelancer. A freelance designer in Berlin and one in Ohio operate under completely different rules.
A few common systems, in brief
- VAT (EU, UK, and many other countries) — Value Added Tax is often required once your revenue crosses a registration threshold, and the rate and rules for invoicing clients in other countries can get genuinely complex (reverse charge mechanisms, EU B2B rules, etc.).
- Sales tax (United States) — Rules vary by state, and often by the type of service — many U.S. states don't tax services the way they tax goods, but this varies a lot state to state.
- GST (Canada, Australia, and others) — Similar concept to VAT, with its own registration thresholds and rules.
What usually determines if you need to register
Most systems have a revenue threshold below which you aren't required to register for or charge tax at all. Below that threshold, you typically just invoice the plain amount. Above it, you're usually required to register, charge the appropriate tax, and remit it to the relevant authority on a schedule.
The honest answer
We can't tell you your specific obligation — and neither can any generic guide, because it depends on your country, your revenue, your client's location, and sometimes your specific industry. What we can tell you: check with a local accountant or your country's official tax authority website before you assume either way. Getting it wrong in either direction (under-charging when required, or over-charging when not) creates real problems later.
Whatever your tax situation, Speedy Invoice lets you set a custom tax rate (or none) per invoice — it'll calculate the subtotal, tax, and total automatically once you know your correct rate.
